I always recommend checking to see if the provider has an online calendar before sending an e-mail.  Then, if you don't hear back in a day or two... send a second e-mail.  E-mails do get lost in cyber space..

If you are trying to reach a specific provider via their website/email, what is the appropriate time to wait for a response?

I would say you should expect to wait at least a couple of days. OTOH, I contacted a lady six weeks ago in San Antonio in preparation for a road trip and I still haven't heard back from her. I got back from the trip a month ago...

I try to stay up-to-date on my email but sometimes get overwhelmed. I'd say to give her 3-4 days, and if no response, try again. Usually I see a second email as helpful, in case I missed the first, and also to let me know you are serious about seeing me. That said, I try to respond on the first contact. But if you don't hear back in 3-4 days, I'd say try one more time to get her attention. On the other hand, multiple emails within those first 3 days get frustrating, and more than three emails total are overkill. I'd say if you email a couple times and don't hear back, assume that it is not you personally (unless you've given her something not to like in your initial contact) but that she is not scheduling new clients or is overbooked- move on to another lady and perhaps keep her on your list to try again down the road when her schedule may be less busy. I do try to get back to everyone who writes me, but if someone requests a specific day that I know I can't work, it is a lower priority for me to respond.. that's why I recommend 1) giving her adequate time to verify the screening information you have sent her (ie. if she clearly states she pre-screens, don't ask for an appointment that same day) and 2. I like it when new clients suggest several dates/times that would work, or give an open-ended idea of their availability (ie. weekdays after 4, Saturday nights, etc.) Perhaps some ladies might prefer to book for specific days only, but I'd much rather first establish contact and check references, etc. and then work together on making sure the day and time are favorable for us both.

It’s hard to generalise as the lady could be on holiday or travelling and have restricted access to her emails.  I wish more providers would use auto response when they are not accessing their emails daily!

I would say you should expect to hear back in two days but unfortunately this may be a bit optimistic.  I would definitely suggest a follow up email if you don’t get a reply as email is not 100% reliable.  For instance, I’ve had email problems lately and not all the emails I send are getting through.  I’d hate to think some of the guys who’ve emailed me think I’m ignoring them but unless they send a follow-up email I won’t know.
